Edited

Quick Summary

  • Add ACH at the organization level if multiple locations should share the same bank account.

  • Add ACH at the location level if a location should use its own bank account.

  • Manual ACH verification typically takes about 2 business days and requires verification through Stripe.

Should I update my organization or location billing?

Choose Organization-level billing if:

  • Multiple locations use the same payment method.

  • You want new locations to automatically inherit the payment method.

Choose Location-level billing if:

  • One location has a different bank account

  • Each location manages its own billing.

**Important: A valid payment method must be on file before you can post shifts or select Professionals.

Connecting your bank account

There are two ways to connect your bank account:

  • Online banking login: Your bank account is verified immediately.

  • Manual entry: Stripe verifies your account through a small microdeposit. This process typically takes about two business days.

To add or change to ACH (bank account) billing, see below:

Organizational-level ACH

Adding ACH at the organization level creates a default bank account that locations can inherit. Use this option if multiple locations should share the same payment card.

Log in to biz.qwick.com

  1. Click Locations

  2. Click the pencil icon next to the organization

    • Note: If you don't see the pencil icon, you may not have organization-level manager permissions to update billing

  3. Click the US Bank Account tab

  4. Enter the email address you want the receipts sent to

  5. Enter the first and last name of the person responsible for the account

  6. If you use online banking for this account, you can connect your account via the login credentials by searching for your bank OR

  7. To manually enter your account and routing numbers, click Enter Bank Details Manually. See below for more info about manual ACH connection

To make an org-level payment method available to a location

  1. Click Locations

  2. Click the pencil icon next to the location whose payment you want to update

  3. Click Reset to Org

The location now has the org-level billing as its payment method.

Location-level ACH

Adding ACH at the location level applies the bank account only to that location. This is the best option if locations use different bank accounts for accounting purposes.

  1. Log in to biz.qwick.com

  2. Click Locations

  3. Click the pencil icon next to the location you want to add or update the ACH for

  4. Click the US Bank Account tab

  5. Enter the email address you want the receipts sent to

  6. Enter the first and last name of the person responsible for the account

  7. If you use online banking for this account, you can connect your account via the login credentials by searching for your bank OR

  8. To manually enter your account and routing numbers, click Enter Bank Details Manually

Manual ACH verification

If you connect your bank account using your online banking credentials, the change takes effect immediately.

If you choose Enter Bank Details Manually, Stripe will verify your account using a small microdeposit. During this verification period, your current payment method (if you have one) will remain active. Once your ACH account has been verified, it will become your default payment method.

The manual entry process takes two business days to complete:

  • Day 1 - Initiate manual entry for ACH

  • Day 2 - Stripe sends a $0.01 microdeposit to your bank account for verification

  • Day 3 - Stripe will email you requesting that you verify the "microtransaction". You can do this by entering the 6-digit transaction code in the verification email Stripe sends. The verification code begins with "SM" followed by four additional letters or numbers (for example, SMGUJE or SM4TY6)

Tip: ACH payments generally have lower processing fees than credit card payments.
